And the easiest way to scale when you are at $5K (or less) is to find the “bottlenecks” in your business model. Because at this stage of the game small gains in efficiency can have a massive impact on both your time and profit.

A bottleneck is literally anything that slows you down, creates a traffic jam, and prevents your business from operating at peak efficiency.
A few common bottlenecks we’ve either seen or dealt with:
Limited Resources: Not enough people, tools, or money!
Process Inefficiency: Redundant or poorly designed systems.
Tech Limitations: Outdated software or not using ANY software.
Information Flow: Poor ****communication with your team, your customers, even yourself.
Supplier Issues: Unreliable freelancers, vendors, or teammates with long lead times.
Marketing And Sales: Insufficient leads or conversions.
Bottlenecks can arise in any area of your business.
To grow to the next level (and reduce your stress), you have to be relentless and address anything affecting your speed, productivity, and profitability.
How To Identify A Bottleneck
Finding the bottlenecks strangling your business takes a little detective work.
There are two key places to look.
1. Your Data
Crunching the numbers reveals clear problem spots.
Website traffic
Lead conversion rates
Sales closed over time
Churn
Etc.
Data doesn’t lie.
Compare your figures to past performance and industry benchmarks. This makes it easy to pinpoint lags in production, spikes in expenses, dips in conversions, and other red flags.
2. Your “Piles”
Bottlenecks also manifest physically in the form of excesses—more posts to write, more projects to finish, people waiting on you, or paperwork stacking up on your desk than your process flow can handle.
Walk around your actual office (or your digital office) and look for piles of:
Newsletters waiting to ship
LinkedIn comments pending a response
Customer emails you haven’t responded to
Slack messages stacking up from the sales team
Like arteries clogged with cholesterol, these blockages point to bottlenecks.

How To Remove A Bottleneck
Once you've identified a constraint, it’s time to roll up your sleeves and take action.
Here are 3 proven ways to help you tackle the bottlenecks in your business:
1. Get To The Root Cause
Ask "why" five times to reveal the source of the bottleneck.
It may be cliche’, but it works! Push your chair back from your desk, park yourself in front of a whiteboard or grab a sheet of scrap paper. Then start asking, “why?”
For example:
Problem: Renewals are down
Why? Because customer satisfaction is dropping.
Why? Because users are encountering issues with your product/service.
Why? Because you haven't adequately addressed their feedback.
Why? Because you’re overwhelmed with new requests.
Aha! Do you see it?
“You’re overwhelmed.”
This should be a signal to your brain that you’ve got a bottleneck to dig into. Where is the feedback coming from? Is there a pattern to the feedback? What makes it overwhelming?
Once you find the bottleneck, keep digging.
2. Map The Funnel
Start from the “overwhelm” and work backwards.
Find your endpoint and ask, what’s needed to get here? Keep asking the question until you have a complete picture of all the steps leading up to your stuck point. Draw it out so you can see it.
Look for redundant steps that can be removed and problem spots where things slow down.
For example:
Users submit feedback via email, support tickets, and social media.
You manually sort and address each one. (Manual = slow. It could be a bottleneck.)
All incoming work has to be approved by YOU!
Uh-oh!
You’re the bottleneck.
3. Fix The Bottleneck
Ok, so you’re the bottleneck.
Welcome to the club! It happens a lot in a small business. But this is how you grow.
In our example, you would need to sit down and rethink how you process the feedback. What can you do to scale your thinking? Maybe you put together a Standard Operating Procedure, first for yourself and then a VA. Or maybe you only need to handle feedback that meet certain criteria. The point is you think through the clog and you smooth it out.
This is how bottleneck thinking works.
Slow down. Map out your process. Pick it apart. Find the bottleneck.
Then fix it!
